KAP runs environmental programmes, resources and online services for children, young people, schools and supporters. These include KAP Club, KAP Connect, Action Academy, KAP Inspires, Planet Friendly Missions, Plastic Clever Schools, campaigns, school resources, newsletters and other environmental action activities.

Our approach to privacy

KAP only collects and uses personal information that we reasonably need to run our activities, support members and schools, communicate with people who choose to hear from us, understand our impact and keep our services safe.

We do not sell personal information.

Many of our services involve children and young people. We therefore aim to collect as little personal information as reasonably possible, use protective privacy settings and explain what we are doing in clear language.

Information submitted to KAP does not automatically become public.

Where appropriate, we use additional short privacy explanations within forms and services so children and young people can understand what will happen to information they provide. The ICO states that children have data protection rights in their own right and that privacy information aimed at them should be clear, concise and age-appropriate.

What information we may collect

The information we collect depends on which KAP service you use.

It may include:

• your name, display name and username;
• age or age range where this is relevant to the service;
• email address and other contact details;
• KAP Club account and login information;
• school name, location and school contact details;
• information about participation in KAP Club, KAP Connect, campaigns, Action Academy and other KAP activities;
• KAP Points, badges, participation records, progress and other information used to provide member features;
• environmental actions and impact information;
• photographs, files, links, comments, questions and other evidence you choose to send us;
• Action Academy progress;
• game and quiz activity;
• KAP Connect attendance and hosting or activity-leading roles;
• KAP Inspires contributions;
• newsletter subscriptions and communication preferences;
• enquiries and messages sent through our forms;
• information provided when a school takes part in Planet Friendly Missions, Plastic Clever Schools or another KAP programme;
• technical information such as IP address, browser information, security logs and cookies;
• Google Calendar information where an authorised person connects a Google account to the KAP Dev Team Calendar.

We may sometimes receive information about a young person from their school, parent or carer, a KAP administrator or another authorised person rather than directly from the young person.

Children and young people

Children and young people are central to KAP.

We do not ask young people to provide more personal information than we reasonably need for the activity or service they are using.

Where photographs, videos, member-created content, action stories or other identifiable information may be shared more widely, KAP uses moderation and appropriate permission processes.

An action being approved or recognised by KAP does not automatically mean that it will be published.

Where additional permission or consent is required, we may ask the young person, their parent or carer, their school or another appropriate responsible adult depending on the circumstances.

KAP Club and the members area

KAP Club members may have an account that enables them to take part in KAP activities and view their own participation.

Depending on how a member uses KAP Club, we may record information including:

• KAP Points;
• badges and repeat achievements;
• environmental actions;
• Action Academy progress;
• KAP Connect attendance;
• Connect Host and Activity Host participation;
• litter-pick activity;
• games and quizzes;
• KAP Inspires contributions;
• campaign participation; and
• other KAP Club activity.

We use this information to operate the member experience, recognise participation, help members see their progress and understand the impact of KAP’s work.

Authorised KAP administrators may see member information where this is necessary to administer, moderate or support KAP Club.

Action submissions, KAP Inspires and member-created content

Members may choose to submit environmental actions, descriptions, photographs, links or other evidence to KAP.

KAP reviews these submissions before awarding recognition such as Approved KAP Action, KAP Inspires, Campaign Contributor or other KAP achievements.

Where a contribution may be suitable to feature through KAP Inspires or another KAP publication, publication is a separate KAP decision.

We do not intentionally publish private contact details, internal review information or evidence that has not been approved for publication.

KAP Connect and other events

When members attend or contribute to KAP Connect or another KAP activity, we may record attendance and participation, including roles such as Connect Host or Activity Host.

Where a session is recorded, photographed or used to create KAP content, we use appropriate permission processes before identifiable children or young people are included.

Action Academy

KAP may record participation and progress within Action Academy, including lesson, topic, quiz and course-completion information.

This information may be used to:

• provide the learning experience;
• show members their progress;
• recognise completion;
• support KAP Club participation reporting; and
• understand how Action Academy is being used.

Planet Friendly Missions and schools

Schools taking part in Planet Friendly Missions may provide information including:

• school name;
• school location;
• school contact details;
• environmental actions;
• impact information;
• photographs;
• files;
• links;
• quotes; and
• other evidence of activity.

KAP uses this information to administer the programme, review submissions, record progress, communicate with schools and understand programme impact.

Where evidence may identify pupils, schools should only provide it where appropriate permission has been obtained.

Plastic Clever Schools and school services

Schools may also interact with KAP through Plastic Clever Schools, KAP Club for Schools, campaigns and other environmental education services.

The information collected will depend on the activity. We aim to keep school participation simple and avoid collecting personal information where it is not needed.

Where a school activity can be used without creating an account or providing personal information, we will normally allow it to be used that way.

Google Calendar and the KAP Dev Team Calendar

The Kids Against Plastic Dev Team Calendar uses Google Calendar to help authorised KAP users view and manage relevant KAP programme and activity dates.

When an authorised user connects a Google account, KAP may request permission to:

• view relevant calendar information; and
• create, view or edit calendar events needed for the KAP calendar feature.

KAP uses information received from Google only to provide the calendar functionality requested by the user.

We do not sell Google user data or use it for advertising.

The website may securely store the OAuth authorisation information needed to maintain the calendar connection. Users can revoke access through their Google Account and KAP administrators can disconnect the integration.

The use of information received from Google Workspace APIs will adhere to the Google User Data Policy, including the Limited Use requirements. Google requires applications using Workspace data to limit its use to the relevant user-facing functionality and places restrictions on transfers, advertising use and human access.

Comments

Where comments are enabled, we collect the information entered into the comments form.

We may also collect the visitor’s IP address and browser information for security and spam detection.

If Gravatar is being used, an anonymised version of an email address may be sent to Gravatar to check whether the commenter has a profile image.

Photographs, media and uploaded files

If you upload photographs, videos or other files to KAP, please avoid including unnecessary personal information.

Photographs can sometimes contain hidden information, such as the location where a photograph was taken.

Do not upload identifiable photographs or information about other people unless you have appropriate permission to do so.

KAP may resize, protect, moderate or otherwise process uploaded files where needed to operate our services safely.

Cookies

KAP uses cookies and similar technologies where needed for the website and our services to work.

These may include cookies used for:

• logging in and maintaining secure sessions;
• remembering account and display preferences;
• forms and website security;
• accessibility and functional features;
• analytics, where you have chosen to allow them; and
• embedded or third-party services, where you have chosen to allow them.

We use CookieYes to manage cookie consent preferences. When you first visit the website, and when you later change your preferences, CookieYes records the choices you make so that we can respect those choices.

Strictly necessary cookies may be used without consent where they are essential for the service you have requested. Other cookies, such as analytics or optional functional cookies, should only be used where you have chosen to allow them.

You can review or change your cookie preferences at any time using the cookie settings available on the website.

Third-party services may also use cookies or similar technologies. Where these are optional, they should only operate after the appropriate consent has been given.

Embedded content and external services

KAP pages may include content or services provided by other organisations, such as:

• YouTube videos;
• Zoom;
• quizzes and games;
• maps;
• forms;
• learning tools; or
• other environmental resources.

Embedded content may behave in the same way as visiting the external provider directly. The provider may receive technical information, use cookies or collect information about how its content is used.

The external provider’s own privacy and cookie policies will also apply.

We try to use external services only where they provide useful functionality for KAP.

Emails and newsletters

If you choose to receive KAP newsletters or other updates, we use the contact details you provide to send the information you requested.

You can unsubscribe from marketing or newsletter emails using the unsubscribe option provided or by contacting us at:

We may still send essential administrative or service messages where these are necessary to operate an account, programme or activity.

Why we use personal information

KAP only uses personal information where we have an appropriate legal basis to do so.

Depending on the service and circumstances, this may include:

• your consent;
• KAP’s legitimate interests in operating and improving its charitable activities and services;
• providing a service you have requested;
• safeguarding and protecting members and users;
• complying with a legal obligation; or
• another lawful basis available under UK data protection law.

Where we rely on consent, you can normally withdraw that consent.

Who we share information with

We may use trusted service providers to help operate KAP’s website and programmes.

These may provide services such as:

• website hosting;
• email delivery;
• video meetings;
• online learning;
• file storage;
• website security;
• analytics where enabled;
• Google services; and
• other technical services required to operate KAP.

We only share personal information where it is reasonably necessary to provide the service, where you have asked or agreed that we do so, for safeguarding or security reasons, or where the law requires it.

We do not sell member, pupil or school information to advertisers, data brokers or other organisations.

International services

Some service providers used by KAP may process information outside the United Kingdom.

Where this happens, we take reasonable steps to use services that provide appropriate safeguards for personal information.

Safeguarding

KAP may need to use or share information where we have a genuine safeguarding concern involving a child or young person.

Where appropriate, information may be shared with a parent or carer, school, safeguarding professional, statutory service or another organisation where this is necessary to protect somebody from harm or meet our legal or safeguarding responsibilities.

We will only share information that is relevant to the situation.

How long we keep information

We keep personal information only for as long as it is reasonably needed for the purpose for which it was collected.

Different types of information may need to be kept for different periods.

For example:

• active account information may be required while somebody participates in KAP;
• participation and impact records may be retained to understand KAP’s charitable impact;
• school programme records may be retained for programme administration and reporting;
• safeguarding, financial or legal records may need to be retained for longer where appropriate; and
• Google authorisation information is retained only while the relevant Google Calendar connection is required or until access is revoked or disconnected.

Where personal information is no longer required, we aim to delete, anonymise or appropriately archive it.

Security

We take reasonable technical and organisational measures to protect personal information against loss, misuse, unauthorised access and inappropriate disclosure.

Access to administrative information is limited to authorised people who need it to carry out their KAP role.

No online system can guarantee absolute security, but we regularly review how KAP information is handled and protected.

Your rights

UK data protection law gives people rights over their personal information. Depending on the circumstances, these may include the right to:

• ask what personal information we hold about you;
• receive a copy of your personal information;
• correct inaccurate or incomplete information;
• ask for personal information to be deleted in certain circumstances;
• restrict how information is used in certain circumstances;
• object to some uses of your information;
• withdraw consent where consent is the basis for using the information; and
• ask for certain information you provided to be transferred or supplied in a portable form.

Children have data protection rights over their own personal information too.
