Kids Against Plastic (KAP) respects the privacy of the schools, teachers, children, young people, members and supporters who take part in our programmes or contact us.

This page explains what personal information we collect, why we use it, how we protect it and the choices and rights people have.

Kids Against Plastic is responsible for the personal information covered by this policy where KAP acts as the data controller.

Information we may collect

The information we collect depends on how someone interacts with KAP.

It may include:

  • email address
  • school or organisation
  • role
  • school country or nation
  • postcode, town or location
  • school identifier or URN
  • programme registrations
  • programme participation
  • enquiries and correspondence
  • event or activity participation
  • KAP Club membership and progress information
  • environmental actions and programme submissions
  • information supplied as evidence of an activity
  • website and security information needed to operate and protect our services

We aim to collect only the information we genuinely need.

Planet Friendly Missions

Planet Friendly Missions is a school environmental-action programme.

When a school registers, we may collect:

  • school name
  • school country or nation
  • postcode, town or location
  • URN or another school identifier
  • teacher or school contact name
  • role
  • school or work email
  • mission interests

We use this information to administer the programme, communicate with the school, record participation and support the school's progress.

Registration does not create a school login and does not automatically sign the contact up for unrelated KAP marketing.

Public school progress

A registered school's name and non-personal Planet Friendly Missions progress may appear in KAP's public school progress information.

This may include:

  • school name
  • current PFM status
  • missions approved
  • latest approved mission
  • reported pupil participation
  • pledges or actions recorded
  • certificate-earned status

We do not publicly display:

  • teacher or contact names
  • teacher email addresses
  • internal KAP notes
  • unapproved evidence
  • private form responses
  • uploaded evidence files
  • pupil names

KAP can disable public progress for an individual school where appropriate.

Mission evidence

Schools taking part in Planet Friendly Missions may submit simple evidence showing what pupils have done.

This may include:

  • a short written update
  • pupil voice or a pupil quote
  • before-and-after information
  • reported numbers of pupils involved
  • a suitable photograph

Evidence is used by KAP to review the school's mission and record programme progress.

Submitting evidence does not mean that KAP can automatically publish it.

Photos

Schools should only submit photographs where they have the appropriate permission to do so.

KAP does not need pupil names with PFM photographs and schools should avoid including them unless specifically necessary.

Evidence photographs are intended for programme review and are not automatically made public.

If KAP wishes to use a photograph publicly, for example on the KAP website, in a report or in programme communications, the appropriate permission must be in place.

Refusing public use of a photograph does not prevent a school from completing a Planet Friendly Mission.

Pupil voice and quotes

Schools may submit anonymous pupil voice or quotes as part of their evidence.

Pupil names should not normally be included.

A quote may be retained privately as evidence of a school's activity. KAP will not assume that a submitted quote can also be reused publicly unless the appropriate permission has been confirmed.

Children and young people

Children and young people are central to KAP's work.

When we process information about children and young people, we aim to:

  • collect as little personal information as reasonably possible
  • use privacy-friendly settings
  • avoid collecting names where they are not needed
  • explain clearly why information is being collected
  • handle photographs and pupil voice carefully
  • avoid making private programme information public

Where a school provides information to KAP about pupils, the school is responsible for ensuring that it is appropriate for that information to be shared.

Where KAP collects information directly from children or young people, we will provide information about its use in language appropriate to the people taking part.

KAP Club and other KAP programmes

For members and participants in other KAP programmes, we may process information needed to run those activities.

This can include:

  • membership details
  • programme participation
  • environmental actions
  • progress, points, badges or recognition
  • course participation
  • attendance at activities or events
  • submissions and communications

The precise information used depends on the programme.

Why we use personal information

KAP may use information to:

  • register people or schools for programmes
  • administer Planet Friendly Missions and other KAP programmes
  • provide programme resources
  • receive and review submissions
  • record progress and environmental action
  • award certificates or recognition
  • communicate with participants about programmes they have joined
  • respond to enquiries
  • run activities and events
  • understand the reach and impact of our work
  • produce anonymous or aggregated reporting
  • maintain accurate organisational records
  • protect our websites and services from spam, misuse and security threats
  • meet our legal, financial, safeguarding and charity responsibilities

We do not sell personal information.

Our legal basis for using information

KAP only processes personal information where there is an appropriate legal basis for doing so.

Depending on the activity, this may include:

  • KAP's legitimate interests in running and improving its charitable programmes
  • providing a service or programme someone has asked to take part in
  • meeting a legal obligation
  • consent where consent is the appropriate basis

The detailed lawful-basis position for KAP's main activities must be confirmed before this draft policy is made live.

Where we rely on consent, people can withdraw that consent.

Programme administration and general marketing are treated separately.

Emails

KAP may send service or programme emails connected with something a school or individual has joined.

For PFM these may include:

  • registration confirmation
  • evidence received
  • requests for more information
  • mission approval
  • new school status
  • programme reminders

These are different from unrelated marketing or fundraising communications.

Where marketing consent or another marketing permission is required, KAP will handle this separately and provide a way to opt out.

Who we share information with

Personal information is available only to people and organisations that need it for a legitimate KAP purpose.

This may include:

  • authorised KAP staff and administrators
  • website and hosting providers
  • email providers
  • Google Workspace
  • database and cloud-service providers
  • learning-platform providers
  • IT and security providers
  • contractors working on KAP's behalf
  • professional advisers
  • regulators or public authorities where required by law

Providers working for KAP are expected to handle information appropriately and securely.

KAP's current processor and technology list must be checked before publication.

Information processed outside the UK

Some technology providers used by KAP may process or store information outside the UK.

Where this happens, KAP will use providers and arrangements that provide appropriate safeguards for personal information.

The international-transfer position of KAP's principal service providers should be confirmed as part of the final privacy review.

How long we keep information

We do not intend to keep personal information for longer than it is reasonably needed.

Retention will depend on the purpose of the information.

KAP is developing a clearer retention schedule covering areas including:

  • school registrations
  • mission evidence
  • photographs
  • pupil voice
  • KAP Club records
  • email logs
  • enquiries
  • programme records
  • financial and legal records

Specific retention periods still need to be agreed before this section is finalised.

Information involving children and young people should not be retained indefinitely simply because storage remains available.

Security

KAP uses practical technical and organisational measures to protect information.

These include appropriate access controls, restricted administration, secure systems, backups, logging and security controls.

For Planet Friendly Missions, teacher contact information and submitted evidence are treated as private programme information rather than public website content.

No online system can guarantee absolute security, but KAP aims to use proportionate protections for the information it holds.

Cookies and website information

KAP websites may use essential cookies and other technologies needed for the site to work.

Analytics, third-party content and other non-essential technologies should only be used in line with KAP's current cookie arrangements.

The cookies and analytics currently used across the KAP website need to be checked before the final policy is published.

Your rights

Depending on the circumstances, data-protection law may give you rights relating to your personal information, including rights to:

  • ask what information KAP holds about you
  • request inaccurate information is corrected
  • ask for information to be deleted in certain circumstances
  • restrict how information is used in certain circumstances
  • object to certain uses
  • withdraw consent where processing relies on consent
  • request transfer of information where the relevant right applies

Changes to this policy

We may update this Privacy Policy when our programmes, technology or legal requirements change.

The date at the top of this page will show when it was last updated.

Where a change materially affects how we use people's information, we will take appropriate steps to communicate it.

Terms and Conditions

These Terms and Conditions govern participation in the Climate Action Awards hosted by Kids Against Plastic (the “Charity”). By submitting a nomination, you agree to these Terms.

 

1. Eligibility

  • The awards are open to schools, educators, and school-led initiatives based in the UK.

  • Nominations can be submitted by teachers, school staff, students (with appropriate consent), or other affiliated individuals.

  • Nominees must be actively engaged in sustainability, environmental, or climate action efforts during the current or previous academic year.

2. Submission Process

  • Nominations must be submitted via the official online form.

  • Each nomination must include a completed form and one supporting piece of evidence (e.g., PDF, Word document, image or video).

  • Evidence must be the original work of the nominee or have proper rights and permissions.

  • Submission deadline will be clearly stated on the awards page. Late or incomplete entries may not be considered.

3. Evidence Requirements

  • Acceptable file types include: PDF, DOC/DOCX, MP4, MOV, or links to online content (e.g., YouTube, Vimeo).

  • File size must not exceed 25MB.

  • Submissions must not contain inappropriate, offensive, or copyrighted material without permission.

4. Judging

  • A panel selected by the Charity will review all entries based on impact, creativity, relevance, and sustainability.

  • Judges’ decisions are final and no correspondence will be entered into regarding the outcome.

5. Awards and Recognition

  • Winners will be announced online via the Kids Against Plastic website and social media channels.

  • Prizes are non-transferable.

  • Winning entries may be showcased online, in reports, or at events for promotional or educational purposes.

6. Intellectual Property and Consent

  • By submitting an entry, you confirm that all content is original or that you have the right to share it.

  • You grant Kids Against Plastic a non-exclusive, royalty-free license to use, reproduce, and display your submitted materials for promotional and educational purposes.

  • Where minors are featured in submitted content, you confirm that you have obtained the necessary parental or guardian consent.

7. Data Protection

  • Any personal data provided will be processed in accordance with UK data protection laws and the Charity’s privacy policy.

  • Contact details will only be used for communications related to the awards unless consent is given for other purposes.

8. Liability

  • The Charity is not responsible for lost, misdirected, or damaged entries.

  • The Charity reserves the right to cancel or amend the awards or these Terms without notice in the event of unforeseen circumstances.
